- What conditions must I meet to be able to participate in Lineart?
Flanders International Trade Fair (FITF) accepts as participants of Lineart all art galleries who are lawfully entered in the commercial register and who enjoy an honorable reputation.
An application for participation requires the approval of the FITF, which reserves the right to refuse an application without having to disclose the grounds for the refusal, and which has the right to change the place of the participant’s stand.
Concerning: ‘the professional character’:
- The gallery that applies for the Lineart art fair through a form ‘application for participation’ can show a list of activities (as a promoter and/or merchant of artworks) of the last and/or coming season, on request of Lineart (FITF).
- At the Lineart art fair the gallery exclusively shows artworks from the past 100 years, unless it is ethnic art.
- A gallery founded and exploited by a galerist-artist shall restrict the amount of his
personal artwork on show at the Lineart art fair to maximum half of the works on
show and he is obliged to represent colleague-artist(s) at the art fair.
- The premises of point 1, 2 and 3 of this explication are fulfilled for every Belgian gallery that has become a membership of the BUP (Federation of professional merchants of modern and contemporary art).
- What is the deadline for registration?
There is no deadline, as long as stands are available. Register before 15 June and get a 3% discount on the price of floor space (galleries within the Eurozone) – 10% discount (galleries outside the Eurozone).
- Who selects the participants and on what criteria?

- Is it possible to order additional items (electricity, parking ticket, etc.)?
Yes. You can order additional items through the Lineart Expo Guide (technical guide for your stand construction) or the Flanders Expo Guide (guide for extra services such as parking tickets, furniture, cleaning, etc.). The Guides will be sent to you automatically by post or by e-mail.
- Can I invite acquaintances to the fair? Are they admitted free of charge?
Certainly! As an exhibitor, you get 200 complimentary admission tickets per 24m² - You can also order an unlimited number of tickets at a reduced price (your customer pays €6 per person instead of €12 at the entrance).
- As an exhibitor, am I entitled to a parking place in the vicinity of the entrance hall?
Exhibitors can purchase parking tickets from Flanders Expo. More information will be sent to you in good time. The parking reserved by an exhibitor is determined by Flanders Expo..
- How do I get my artworks (articles) to my stand?
During the assembling/dismantling period, you can park your car close by to facilitate bringing your artworks to your stand. If you do not have a cart you can rent one (cf. question 13).
- Can I enter the premises with the car? What about heavy artworks or statues?
No. You can, however, park near the hall during the assembling/dismantling period to unload and load your artworks. You must see to the installation of your heavy artworks/statues yourself. If you do not have transport equipment (such as a lift truck), you can hire it (cf. question 13).
- Can I get something to eat during the fair?
Certainly, there are various catering points throughout the fair.
- Can the people take purchased works with them immediately?
Yes. The exhibitor must complete an “exit form” which the buyer then must hand to the supervisor upon leaving the fair.
Exit forms are available at the organisation’s secretariat during the stand assembling period and during the fair.
- Can I enter and leave outside the opening hours valid for visitors?
Yes. Supplies are delivered every day between 9:30 and 10:30 AM, during which time you can adorn your stand with new artworks.
You can also tidy your stand every day.
- Are there carts available so that I can bring artworks from my car to the stand?
The organisation provides no such carts. This service is nonetheless available at Flanders Expo (to be ordered via the Flanders Expo Guide). The contact details are given below:

- Can I provide beverages or catering to visitors on my stand?
Yes, you can see to that yourself, or call on the services of Gourmet Invent, the exclusive caterer of Flanders Expo.
- Is it necessary to invite people to the fair?
Lineart has an extensive list of collectors and occasional art buyers. Lineart informs them about the fair and invites them. Tickets are also made available to gallerists so that they can invite their relations. This is very important. An assessment has shown that galleries that invite the most relations themselves perform the best on the commercial front at Lineart.
- How can I inform my relations that I am at the fair?
In addition to the classic invitations that gallerists can send by post, they can avail themselves of many other options such as their own website or e-mail, using the Lineart logo or emblems of the projects for which they have been selected or awarded.

Invoicing
- What extra costs can I expect once I have registered?
This depends on the formula you have chosen: easy or classic.
You will receive more information in October – November via the “Easy or Classic Guide” and the Flanders Expo Guide (additional services).
- When will I be invoiced?
In September.
- What about insurance?
- ‘Easy’ formula: included: civil liability insurance + all risk insurance (max. insured value: €8,350)
- ‘Classic’ formula: not insured
In both cases, the form from the “Flanders Expo Guide” must be returned to Flanders Expo duly completed.

My stand at Lineart
- What does my stand actually look like (partition walls, carpet colour, lighting, etc.)?
Each stand consists, as a standard, of 3-m high partition walls, grey carpet and a black frieze with a name board. Only Easy module stands come with a number of light fixtures depending on the surface area. Both Easy and Classic module exhibitors can personalise their stand via the Lineart Expo Guide (different colour carpet/walls, extra lighting, etc.).
- How much time do I have to set up / dismantle the stand?
Assembly:
Wednesday, 1 December 2009: 12:00 noon to 11:00 PM
Thursday, 2 December 2009: 8:00 AM to 5:00 PM
Removal:
Tuesday, 7 December 2009: 8:00 PM to 11:00 PM
Wednesday, 8 December 2009: 8:00 AM to 12:00 PM
- Is a special admission ticket needed during the assembling/dismantling period?
No. A badge is needed only for accelerated assembling. You will need sufficient exit forms for the dismantling, however. These can be obtained at the fair secretariat.
- Can I bring my own lights?
Yes, but you will need to connect them – and replace them, if they are defective -- yourself.
- How do I know that I have sufficient current?
Everything is checked when your plan is received. If it should appear that there is not enough current, you will be informed. Please note: the stand builder can take account only of the consumption for the lighting you have requested, and not of consumption for your own lights or electrical appliances (e.g. coffeemakers). You can ask the stand builder for the consumption applied for at all times, and you can adjust your electricity during the assembling period.
- Can I bring along a coffeemaker and/or a refrigerator?
Yes (if you do not have such appliances, you can rent through Flanders Expo).
- May I offer visitors to my stand drinks and snacks?
Yes, you can see to it yourself, or call on Gourmet Invent, the exclusive caterer of Flanders Expo.
- Must I see to the daily cleaning of my stand myself?
It is recommended that you keep a clean stand. If you do not want to see to the cleaning yourself, you can call on the services of the cleaning company. This service can be ordered via the Flanders Expo Guide.
- Must I “close” my stand myself at night?
Many exhibitors hang a canvas or ribbon round their stand at night to indicate that they are no longer present. This also gives a signal to security: movements at a “closed” stand are consequently considered suspicious.
- What sort of walls is used for my stand?
The stand walls are made of wood.
- How do I hang my artworks on the walls?
You can hang your artworks on the walls with nails, strings or chains.
- Can I choose the location of my stand myself? Is it possible to get the same location as in the previous year?
The organiser decides independently about the arrangement and attribution of the stand locations. To increase your chances of getting the same location as in the previous year, it is important:
- to apply early (first come, first served) and to indicate that you want the same spot in the “remarks” field (upper right hand quarter of the “application to participate” form);
- that the concept and arrangement of the fair have not changed
- When will I know about the location of my stand and the names of the surrounding exhibitors?
If you apply early, you will be notified about the location of your stand in October. The names of the surrounding exhibitors will be posted on the website as of November.
- Is it possible to change the location of my stand if I wish?
The organiser decides, but consultation is always possible.
- What does the full price per stand actually include? Which costs must I reckon in?
A description of what the formula comprises in full is provided on your registration form and other documents. If you need something extra, then you must see to it yourself or order it via the guides.
- What colour is my stand/carpet?
The stand consists of white partition walls and a grey carpet. You can change both colours by paying a surcharge.
- What is the difference between the types of lighting?
The lighting of your artworks is very important. For this reason, we provide a selection of types of lighting, taking into account: the intensity of the light (wattage); the type of light (cold – warm); the way of fixing the lighting (on a rail – arm) and the angle of lighting sources (direct or diffuse). You will find a description with a photo in the Lineart Expo Guide.
- Are my artworks (articles) safe at the fair?
Round the clock (24/24) security is provided for the hall by security officers. Galleries with a depot can moreover keep valuables under lock.

- Must I describe the contents of my stand in detail before the fair starts?
This depends on the agreement you have with your insurer.
- Are there certain rules that must be complied with concerning the exhibited materials (limited number of works, etc)? (Belgium Calling: maximum 10 works of art)
We recommend that you exhibit 2 to 3 artists on a basic, 24 m³ stand. Make sure you do not overload the space: less is more. There are limits to quantity for certain projects. They are indicated on a project by project basis.
- Does Lineart provide a board for each stand holder with the name of their gallery?
Each stand is provided with 1 or more name boards. The number depends on your surface area and the number of open sides.
- This is the first time I participate in Lineart. Should I make sure that certain items have not been forgotten?
We advise those participating in Lineart for the first time to opt for the Easy module. This formula comprises all the items that you are bound to need.
- What must I do to get a place in the catalogue? Must I provide a text and/or certain photos?
As of July, you will receive a letter in which all the steps are explained, with data and a photo or several photos provided digitally.
- Can you give me some tips on how to make my stand more attractive?
The possibilities are legion and depend on the budget you have allocated.
Some tips without extra costs for your budget:
- Do not overload your stand. Visitors must be able to walk easily through your stand without getting in the way of others.

Provide nice eye-catchers to attract visitors to your stand.
- Different colour carpet
- Different colour walls
- Span the stand with an awning to create a certain atmosphere.

Projects
- Can I participate in projects without having a stand?
No, you must first file an “application to participate” for a basic stand, in which you can indicate the project you are interested in participating.
- Must I pay for the extra space if I was selected for a Showcase or Belgium Calling?
Yes, all space is paying. The project spaces (Showcase or Belgium Calling) are made available at preset, very attractive rates.
- What are the advantages of taking part in a project?
